Overview
Filters allow you to include or exclude specific subsets of data when you search for new Contacts or Accounts in Apollo. This helps you to better segment and personalize your team's approach so you can find and engage with the right contacts at the right time.
You can access many types of Filters in Apollo.
Apollo divides Filters into 6 main categories: Settings Filters, Person Info, Company Info, Engagement Activity, Created Source, and Miscellaneous.
Refer to the sections below to find out more about how to access and search with the most popular settings Filters.
Access Settings Filters
Launch Apollo, click Search in the navbar, and then click People or Companies.
Click Show More Filters on the left side of the screen.
There are 6 Settings Filters at the top of the Filters modal.
Refer to the sections below for further details about each Filter. When you have selected all the Filters you need and are ready to search, click Apply Filters.
Search Bar
The Search bar allows you to type in any keywords related to the People or Companies that you want to find.
When you type a keyword into the Search bar, the number of records for that search appears on the left side of the Apply Filters button.
Please note, Apollo narrows down the records using both the information you type in the Search bar as well as any additional filters you add. This means that when you type a keyword in the Search bar, any other Filters you add will further segment from the number of records with that same keyword.
Lists
You can create lists to organize contacts and then filter by these lists to search more easily. This means that you can further segment the target People or Companies on your lists.
To add a list to a Filter, expand the Lists accordion and select the People or Companies tab.
Click the Select Lists drop-down and select the list(s) of your choice.
Please note, when you add multiple lists to a search in the Include lists field, you are running an "OR" Search. This means that Apollo filters from the records of every list that you add, regardless of whether some contacts are in one list but not in others.
You can also include or exclude lists from a Filter.
To do so, click Advanced settings.
Then, select the lists that you would like to add or remove.
Please note, when you add multiple lists to the Include ALL field, you are running an "AND" Search. This means that Apollo only shows the contacts that exist in every one of the lists you add.
Click Most Recent to organize how you sort your lists.
For more information on how to create lists, refer to the "Create and Edit a Contact or Company List" article.
Territories
If you are an admin, you can change, add or remove Territories from your search. This means that you can search with or without the saved Territory Rules in place.
You can add a Territory to a search. To do so, click the Territories drop-down and select the Territory of your choice.
To remove a Territory from a search, click the X on the right-hand side of the Territory that you would like to delete.
Please note, if you are not an admin, you cannot add, change, or delete a Territory from any search. Although the X still appears on the screen, it does not workâeven if you click it, the Territory Filter remains in effect.
As an admin, you can also click Manage Territories from the Filters modal to view and edit existing Territories.
For more information on how to create new Territories, refer to Add, Edit, and Prospect with Territories.
Owner
Please note, this Filter is only available to accounts with more than 1 user.
You can filter a search by Contact owners. This means that you can include or exclude the owners of Contact and Account records, provided they exist as users in your Apollo account.
Please note, if you have synced the records from your CRM, make sure the owners of your records in your CRM exist as users in Apollo. If the owners do not exist as users in Apollo, you cannot assign them as owners for any contact or account records. Therefore, you would not be able to filter by these owners.
To select owners, expand the Owner accordion and then click the Contact or Account tab.
Please note, the example above is from the People page. If you access the Filters from the Companies page, you do not have the option to select the Contacts tab.
Click the Account owner drop-down to select the owner(s) that you want to include in the search.
Click the Not owned by drop-down to select the owner(s) that you want to exclude from the search.
For more information about how to edit Contact and Account owners, please refer to the "Edit a Contact or Account Owner" article.
Stage
You can filter a search by the specific stage in which the Contacts and Accounts are in the sales cycle.
To do so, expand the Stage accordion and then click the Contacts or Accounts tab.
Please note, the example above is from the People page. If you access the Filters from the Companies page, you do not have the option to select the Contacts tab.
Enable the stages that you want to include with the checkboxes. You can select as many as needed in the search.
Click the Exclude Contact Stages drop-down to select the stages that you do not wish to include in the search.
For more information on how to add, edit, or remove Contact and Account stages, refer to Contact and Account Stages Overview.
Custom Fields
You can add Custom Fields to a filter. This means that you can use the standardized data fields you already set up in Apollo to further segment the Contacts and Accounts you search for.
To add a Custom Field, expand the Custom Fields accordion and then click the Contact or Account tab.
Please note, the example above is from the People page. If you access the Filters from the Companies page, you do not have the option to select the Contacts tab.
Click + Add Custom Field Filter, then select the drop-down to search for the custom fields you have in Apollo.
Click the Custom Field that you want to add and use the checkboxes to input the appropriate data for the search.
