Overview
If you use Apollo for data and Outreach for engagement, you can integrate Apollo with your Outreach account.
The benefits of this integration include:
- Unified data management: Push Apollo contacts directly into Outreach.
- Ease of execution: Quickly deploy Apollo contacts into your Outreach sequences.
- Streamlined workflow: Remove unnecessary steps when working between Apollo and Outreach.
- Automatic synchronization: Contacts you push from Apollo automatically sync to the corresponding fields in Outreach.
When you push contacts to Outreach, the following fields will sync as long as they're also present in Apollo: First Name, Last Name, LinkedIn URL, Website URL, Title, City, State, Country, Email, Phone, Street, Postal Code, and Time Zone.
Check out the following sections to learn how to connect Outreach to Apollo, push contacts from Apollo to Outreach, and add contacts to an Outreach sequence.
Connect Outreach to Apollo
For optimal functionality, make sure you have permission to create prospects in Outreach before you connect the integration to Apollo. If you don't have this permission, contact your team's Outreach admin.
For more information about permission settings in Outreach, refer to Outreach Governance Profile Settings Overview from the Outreach Knowledge Base.
To connect your Outreach account to Apollo:
- Launch Apollo and click Settings > Integrations.
- Click Connect beside Outreach.
- Next, click New Authentication to log into Outreach and authenticate your account.
Apollo detects if you're already logged into Outreach in another tab or window and will populate your credentials for you. If you want to access Outreach from a different account, log out of Outreach fully, then sign in with the other account's credentials.
- Once you've authenticated Outreach, click Finish to complete the connection.
Your Outreach account is now connected to Apollo.
You can only connect one Outreach account to Apollo at a time. Make sure to connect an admin's Outreach account to ensure that your entire team can access all Outreach sequences from Apollo.
Push Net-New Contacts to Outreach
Once you've integrated Outreach with Apollo, you can push net-new contacts directly to Outreach while prospecting in Apollo. To do this:
- Launch Apollo and go to People. Apply filters to begin searching for your ideal prospects.
- Click Net New to review net-new prospects in your search results.
- Use the checkboxes to select the prospects you want to push to Outreach, then click Save.
- Click Add to Outreach, then click Push new contacts to Outreach.
- (Optional) Add selected prospects to one of your Outreach sequences. Use the dropdown to select an Outreach sequence, then select the email address you want to use for sending sequence messages to these prospects.
- If you can't find your Outreach sequence, click Refresh to resync Outreach sequences and mailboxes to Apollo.
By default, the Send Emails From dropdown shows all mailboxes in Outreach. If you're an Apollo admin, you can adjust your team's permission profiles to show all or certain mailboxes per user.
To do this, go to Settings > Users and teams > Permission profiles, then open the permission profile you want to edit. Expand Emails permissions and use Can send emails from to select one of the following options:
- All users: All mailboxes from Outreach.
- Self only: Mailboxes related to the signed-in user. Apollo shows all mailboxes from Outreach having a matching email with the user’s email address or their mailboxes on Apollo.
- Other users on the same team: Mailboxes in Outreach that belong to users on the same Apollo team as the signed-in user.
- Click Save to send your selected contacts to Outreach.
When you save and push a contact into Outreach, Apollo creates a shortcut between the two platforms. Click the Outreach button on the contact's profile page in Apollo to access the synced contact in Outreach.
If you can't see the Outreach button, you may need to retry pushing this contact to Outreach. Click ... > Push to Outreach in the contact's profile to push the contact again.
