Overview
Do you have sequences in Outreach that you need to move to Apollo?
Let Apollo handle the migration. You can run both systems in parallel, validate everything before making changes, and cut over on your own timeline. This reduces risk of errors, shortens the time it takes to see value in Apollo, and lets you move individual sequences or your entire outbound program without disruption.
Migrating means you don't need to rebuild sequences from scratch or risk duplicative outreach. If you're already using Apollo alongside Outreach, this approach also creates a smooth path to full adoption.

Migrate Sequences from Outreach to Apollo
Before Apollo can migrate your Outreach sequences, there are a few steps you need to complete to ensure your contacts, sequence structure, and sending behavior migrate cleanly, with no duplication.
To get started:
- First, make sure your contacts exist in Apollo. You can import them with the Outreach integration or import a CSV file of contacts.
- Connect the Outreach integration within Apollo using your Outreach admin credentials.
- Decide which sequences you want to copy. You can start with a limited number, and move more sequences later.
- Next, sign up here to request migration support from Apollo. After speaking with Apollo, migration could happen within a few hours to one day, so be prepared to pause your sequences in Outreach to avoid duplicate campaigns. This prevents contacts from continuing through those workflows while Apollo prepares them on your behalf.
- Finally, Apollo copies all sequences, steps, templates, and A/B tests from Outreach. Apollo then validates and tests the copy. Next, Apollo maps contacts and activates the sequences.
Apollo migrates sequences from Outreach, including sequence steps, templates used within those sequences, and email drafts. Apollo also maps contacts to the corresponding sequence in Apollo. However, Apollo doesn't migrate historical data, snippets, past emails, notes, activities, or other historical records from Outreach.
Limitations
- Date-based sequences: If you have date-based sequences, modify them to interval-based sequences for the migration.
- Attachments: Apollo doesn't copy attachments but provides a list of sequences and specific steps that are missing attachments to simplify a manual fix.
- Sequence sending schedules and rulesets: Apollo replaces all sending schedules and rulesets with one default schedule and ruleset. Learn more about sequence sending schedules on Apollo and how you can customize each sequence.
- Historical Outreach emails: Historical Outreach emails aren't migrated with sequences. As a result, if a contact replies to one of these emails, that reply would not be attributed to the sequence, which could result in rules like "If a contact replies, mark them as finished in this sequence" not working properly. As a workaround, use the sequence rule "If there is another reply within the same account" instead.
Next Steps
Here are a few solid next steps to help you keep leveling up your Apollo workflow as you migrate from Outreach.
| Create a Sequence in Apollo | After migration, you can build on your outbound by using Apollo's native sequencing tools and create new sequences tailored to your team's goals. |
|---|---|
| Integrate Outreach with Apollo | Use the Outreach integration to sync people and accounts into Apollo so your migration starts from clean, aligned data. |
| Import a CSV of Accounts | If some records aren't yet in Apollo, you can import them by CSV to ensure every contact you plan to sequence is fully accounted for before cutover. |
| Manage Sequence Rulesets | Strengthen your migrated sequences by adjusting rulesets, including using fallback rules for reply detection to avoid gaps Outreach can't carry over. |
| Obtain a Phone Number in Apollo | If calling is part of your migrated workflows, go ahead and register Apollo dialer numbers to keep call steps consistent across platforms. |
