Map Apollo Deals to Salesforce Opportunities

Overview

If you set up both the Apollo-Salesforce integration and deals, Apollo will sync data between your Salesforce opportunities and Apollo deals by default. As a result, you should ensure that your Salesforce opportunity stages and Apollo deal stages are mapped appropriately.

The following sections show how Salesforce opportunity stages and Apollo deal stages are synced, and how to manually map fields.

Automatic Apollo Pipeline Creation

If you've set up deals in Apollo before you connect your Salesforce account, the integration onboarding workflow will walk you through the data sync process between Salesforce opportunities and Apollo deals.

After connecting the integration, you should follow these steps:

  1. Apollo automatically creates a pipeline using the same stages as your Salesforce opportunity stages. You should review these stages to ensure they meet these needs

    If you need to add or edit stages in the future, you should do so in Salesforce. Apollo will reflect changes to your Salesforce stages in your deals pipeline. Review the Apollo pipeline.
  2. When possible, Apollo automatically maps your Salesforce opportunity fields to your Apollo deal fields. To manually map a field, select an option from the Apollo deal fields drop-down.

    If you need a new field for mapping purposes, click create custom field to create a new deals field in Apollo. Review the mapped fields.

You have now mapped your Salesforce opportunity fields to your Apollo deals fields.

 
Deal Stages and Salesforce

If you've integrated Salesforce with your Apollo account, Apollo automatically disables the creation of new deal stages. Apollo does this because it is not possible to create or update opportunity stages through the Salesforce API. The Salesforce opportunity page is configured as read-only, which means Apollo can only pull this data from Salesforce. Apollo will reflect whatever opportunity stages you have configured on the Salesforce side.

Update Field Mapping for Salesforce and Deals

If you've previously mapped Salesforce opportunity fields to your deals fields in Apollo, you can update the field mapping. To do so:

  1. Launch Apollo and click Settings > Integrations.
  2. Click View for Salesforce. View Salesforce integration settings.
  3. Access the Deals tab, then click Default fields. Find deals field mapping.
  4. Select a Salesforce opportunity field from each drop-down to map to the corresponding Apollo deals field. If a drop-down is unavailable, the mapping cannot be updated because the deals field is automatically mapped to a default Salesforce field. Manually map the fields.
  5. Click Save to update the mapped fields.
  6. To map custom fields, click Custom fields. Then, click the deals field that you want to map. View Salesforce integration settings.
  7. Select an option from the Map to Salesforce Opportunity Field drop-down, then click Save. View Salesforce integration settings.

Turn Off Data Sync

If you don't want data between Salesforce opportunities and Apollo deals to sync automatically, you can turn off the data sync. To do so:

  1. Launch Apollo and click Settings > Integrations.
  2. Access the Deals tab. Then, turn off the Sync Salesforce deals with Apollo option. Disable data sync.
  3. Click Save.
