Overview
If you no longer want to use a connected mailbox in Apollo, you can unlink it from your account. Admin on Apollo can also unlink mailboxes for other users. This can be especially useful if people have left the team.
When you unlink a mailbox, Apollo prompts you to choose what happens to any scheduled emails from that mailbox. You can either reassign scheduled emails to another connected mailbox or cancel them altogether.
Disconnecting mailboxes lets you retire a mailbox, remove a mailbox for a former teammate, or free up space to connect a new mailbox.
Check out the following steps to unlink your own mailbox or unlink a mailbox for another user.
Unlink Your Mailbox
To unlink a mailbox from your account:
- Launch Apollo and go to Settings > Mailboxes & Domains.
- Click ... next to the mailbox, then click Unlink mailbox.
- (Optional) To reassign any scheduled emails from the mailbox you're unlinking, select a forwarding mailbox from the dropdown. Any scheduled or pending emails are sent from the selected mailbox instead.
- Click Unlink mailbox.
If your team only has one connected mailbox, Apollo doesn't display forwarding options when you unlink it.
If you selected a forwarding mailbox, any emails scheduled from the unlinked mailbox are sent from the forwarding mailbox instead. If you didn't select a forwarding mailbox, Apollo cancels any scheduled emails that were assigned to the unlinked mailbox.
You have successfully unlinked the mailbox.
Unlink Another User's Mailbox
If you're an admin on Apollo, you can unlink mailboxes for other users in your workspace.
Unlinking a mailbox doesn't remove a user's access to Apollo. If a teammate has left your organization, you should also deactivate their Apollo user account. For more information, see Add, Manage, and Deactivate Users.
To unlink a mailbox for another person:
- Launch Apollo and go to Settings > Users.
- Select the user whose mailbox you want to unlink.
- Click Mailboxes.
- Click ... next to the mailbox, then click Unlink mailbox.
- (Optional) To reassign any scheduled emails from the mailbox you're unlinking, select a forwarding mailbox from the dropdown. Any scheduled or pending emails are sent from the selected mailbox instead.
- Click Unlink mailbox.
If you selected a forwarding mailbox, any emails scheduled from the unlinked mailbox are sent from the forwarding mailbox instead. If you didn't select a forwarding mailbox, Apollo cancels any scheduled emails that were assigned to the unlinked mailbox.
You have successfully unlinked the mailbox.
