Research and Prepare for Upcoming Meetings

Overview

You've already set up meetings in Apollo and prospects are booking meetings with you. Now, you want to prepare for those meetings.

Apollo's pre-meeting insights enable you to research your meetings in advance. Using the meeting prep templates, you can learn a company's priorities, identify decision makers in a meeting, summarize key company information, and surface critical information, like objections, from past meetings. You can also create custom templates by chatting with Apollo's AI assistant using natural language to gather the specific insights you need.

The following sections explain how to review pre-meeting insights and how to create or edit insight templates.

Review Insights for Upcoming Meetings

Insights are only available for upcoming meetings with external participants. If a meeting includes only participants from your team, Apollo does not show any insights.

To review insights for your upcoming meetings:

    1. Launch Apollo and click Meetings.
    2. Click Insights to research an upcoming meeting.

Click insights to generate pre-meeting insights.

 
The Past Hasn't Passed You By

While pre-meeting insights are only available for upcoming meetings, you can still research past conversations if your team recorded them. Refer to Uncover Conversations Insights Using AI to learn more about how you can analyze conversation recordings.

  1. Click Insights selected, then use the checkboxes to choose your preferred insight templates. Click insights selected.
  2. Click Run.
  3. Review the generated insights to prepare for your meeting. Review pre-meeting insights.
  4. (Optional) Click Copy Section and the save information on your device for future reference.

You've now accessed pre-meeting insights to prepare for an upcoming meeting.

Edit Prompt Templates for More Specific Insights

Apollo's templates cover the most commonly sought pre-meeting insights. However, if you want to find more specific information, you can edit the template prompts.

To edit the AI prompts for the pre-meeting insight templates:

  1. Launch Apollo and click Meetings.
  2. Click More Actions Edit existing template. Click edit existing templates.
  3. Click Edit on the template you want to update. Click edit on the template to update.
  4. Select an AI model so Apollo's AI can retrieve the insights you need. Select an AI model.
  5. Edit the prompt instructions to refine the output. Click {} to add dynamic variables. Write prompt to get pre-meeting insights.

  6. (Recommended) Click Preview to view the result of your prompt updates.
  7. Click Next.
  8. Edit the insight name and description to define the purpose of the template.
  9. Click Save.

You've now edited a pre-meeting insight template.

Create Custom Templates

While Apollo's templates cover common pre-meeting insights, you can create a personalized, new template from scratch. To create a new template:

    1. Launch Apollo and click Meetings Create new template. Click create new template.
    2. Select Assisted or Advanced mode.
  1. Write the prompt instructions using natural language to define the information you want to return. Write prompt in natural language.
  2. Add an insight name and description to explain the purpose of the template.
  3. Click Save.
  1. Select an AI model so Apollo's AI can retrieve the insights you need. Select AI model.
  2. Write the prompt instructions using natural language to define the information you want to return. Click {} to add dynamic variables to the prompt. Write prompt and use dynamic variables.
  3. Add an insight name and description to explain the purpose of the template.
  4. Click Save.

You've now created a custom pre-meeting insight template.

Access Meeting Insights via Email

When a prospect uses your meeting scheduler link from Apollo to book a meeting with you, Apollo sends you an email confirmation for the meeting. Click View insights in the email to visit the details page for the meeting.

Research Meetings via Google Calendar

With the help of the Apollo Chrome extension, you can prepare for meetings directly in your Google Calendar.

To access pre-meeting insights in Google Calendar:

  1. Open Google Calendar. Then, click on an event.
  2. Click View pre-meeting insights. Click view pre-meeting insights.
  3. Click Insights selected, then choose your preferred templates. Choose preferred templates.
  4. Click Run.
  5. Review the generated insights to prepare for your meeting. Review pre-meeting insights.

You've now accessed a pre-meeting insight in Google Calendar.
