Overview
You've already set up meetings in Apollo and prospects are booking meetings with you. Now, you want to prepare for those meetings.
Apollo's pre-meeting insights enable you to research your meetings in advance. Using the meeting prep templates, you can learn a company's priorities, identify decision makers in a meeting, summarize key company information, and surface critical information, like objections, from past meetings with prospects.
The following sections detail how to review pre-meeting insights and access any notes you save.
Review Insights for Upcoming Meetings
Insights are only available for upcoming meetings with external participants. If a meeting includes only participants from your team, Apollo does not show any insights.
To review insights for you upcoming meetings:
- Launch Apollo and click Meetings.
Alternatively, access a person's profile via search. Then, click the Meetings tab to view any upcoming meetings that are scheduled with the person. - Click Insights to research a meeting.
Insights are not available for past meetings. Select Upcoming from the view drop-down to see only upcoming meetings.
While pre-meeting insights are only available for upcoming meetings, you can still research past conversations if your team recorded them. Refer to Uncover Conversations Insights Using AI to learn more about how you can analyze conversation recordings.
- Click the checkbox for each template you want to use to generate insights. Then, click Run for all.
If you've previously met with a prospect, options related to the meeting history and objections from past meetings will be available. - Review the generated insights to prepare for the meeting.
- (Recommended) Save the insights as a note to ensure you and your team can easily access this information whenever you need it.
To do so, use the drop-down to select which contacts, accounts, deals, and other meetings your notes appear on. Then, click Save note.
You've now accessed pre-meeting insights to prepare for an upcoming meeting.
Edit Prompt Templates for More Specific Insights
Apollo's templates cover the most commonly sought pre-meeting insights. However, if you want to find more specific information, you can edit the template prompts.
To edit the AI prompts for the pre-meeting insight templates:
- Launch Apollo and click Meetings.
Alternatively, access a person's profile via search. Then, click the Meetings tab to view any upcoming meetings that are scheduled with the person. - Click Insights to research a meeting.
- Click the drop-down tab for a template, then click Edit template.
- In the Step 1 tab, edit the prompt instructions to return the information you seek. Click {} to add dynamic variables to the prompt.

- In the Step 2 tab, continue to refine the prompt so that Apollo's AI can retrieve the exact information you seek.
- (Recommended) Click Preview to view the result of your prompt changes. If you like the preview, click Save step 2 in notes to save the info as a note.
Once you exit the prompt template editor, Apollo restores the original template. Repeat these steps to run custom prompts for other templates and meetings.
Access Notes from Saved Insights
The notes you save from pre-meeting insights are potentially accessible via multiple paths.
Meeting Record
You can also access notes via the meeting record. To do so, launch Apollo and click Meetings. Then, click the meeting title.
The Note section of the meeting record will show the saved notes.
Meeting Tab of Associated Records
When you save a note from pre-meeting insights, you can associate it with contacts, accounts, deals, and other meetings. This means you can find notes by accessing the Meetings tab of an associated record and clicking a meeting title.
