Overview

Saved searches allow you to quickly access and view a group of filtered contacts from the Apollo Search tool. While saved search alerts help you to access up-to-date insights about any new people or companies that match the criteria of those saved searches.

Data changes constantly. Employees move jobs, companies open new roles, and the Apollo database continues to grow. When you subscribe to saved search alerts, Apollo sends you notifications about the latest records that fit your search specifications.

If you are on a professional or custom plan, you can leverage the buying intent filters to create saved searches that match your buying intent criteria. The result? Apollo sends you email alerts when new companies match your buying intent search criteria. Then, your team buys you cake for sourcing quality leads! After all, everyone loves cake. Refer to the sections below to create and subscribe to new saved searches, configure alerts for your existing saved searches, and prospect with saved searches.

Create and Subscribe to a New Saved Search

Launch Apollo, click Search, and then click the People or Companies tab.

Add any filters that you would like to include in your saved search.

Filter and Conquer!

You can use filters in Apollo to help you find, save, and engage with your ideal contacts. For more information about the types of filters available to you, please refer to the "Search Filters Overview" article.

When you’re finished, click Save.

Use the Name text box in the modal that appears to give the saved search a name.

Click the Public radio button under the Visibility section if you'd like to make the search available for other account users. Click the Private radio button if you do not want anyone else in your account to have access to the search.

Click Pin saved search to the sidebar to access it from the Pinned section of your saved searches.

If you do not click this checkbox, you can still access the search from the Saved searches tab when you click the Private or Public buttons.

To receive email alerts when new records match your search, click the Search subscription alerts drop-down and select the frequency in which you want to receive notifications. Apollo programs the first alert to arrive in your inbox 1 day, week, or month after the day you activate the subscription. Apollo sends out alerts in the morning. You only receive updates if Apollo finds new records that match the saved search.

You Can Always Turn It Off!

Please note, you can turn off the saved search alerts at any time by selecting the Turned off field in the Search Subscription drop-down.

Click the Table layout drop-down to select the layout you see when you view the saved search.

When you’re finished, click Save search.

Let's Get Editing!

Want to update an existing search rather than create a new one? Click the Update existing search tab, select a search, edit the settings that you want to change, and then click Update search. And voila—you've updated an existing saved search!

Configure Alerts for an Existing Saved Search

 
You Can Make Your Own Choices

If you created the saved search before Apollo released the alerts feature, Apollo does not automatically subscribe you to saved search alerts. However, you can turn on alerts for an existing saved search at any time.

Launch Apollo, click Search, and then click the People or Companies tab.

Click the Saved Searches tab and then click the Pinned, Private, or Public button to find the saved search for which you want to set up alerts.

Click the additional options (...) button on the right of the saved search. Then, click Search settings.

Click the Search subscription alerts drop-down and select the frequency in which you want to receive notifications.

When you are ready, click Update search.

You have now configured saved search alerts for an existing saved search.

 
Don't Own the Saved Search?

Please note, you can only subscribe to the saved searches of which you are the owner. To subscribe to another user's saved search, you need to duplicate it first. To do so, click the additional options (...) button, and then click Duplicate.

Apply a Saved Search When Prospecting

Launch Apollo, click Search, and then click the People or Companies tab.

Click the Saved Searches tab and then click the Pinned, Private, or Public button.

Use the Search bar to type the name of a saved search or browse through the list.

When you have found the saved search you want to apply, click on it.

Apollo applies the saved filters to your search. To review any new contacts that fit the saved search criteria, click the Net New tab.
