Overview
Saved searches let you quickly return to the prospecting criteria you use most often without rebuilding the same filters each time. Use them to maintain a consistent view of the people, companies, deals, or tasks that matter most to your workflow.
For example, if you regularly search for Chief Marketing Officers in the computer software industry, you can save those filters and return to the same audience in just a few clicks. You can also set search alerts to stay on top of new matching records and respond to changes in your target market faster.
The same saved search can show different result counts over time as Apollo's data changes. New people and companies may be added or removed, saved contacts can move from net new to saved, and enrichment or scoring updates can affect which records match your filters.
Saved searches and search alerts help you stay focused on the audiences that matter most while keeping up with changes in your prospect pool.

Save a Search
To save a search:
Check out Search Filters Overview to learn about all the available filters, including how and when to use each one.
- Click Save as new search.
- Give your search a descriptive name and click Create search.
You have now saved a search.
You can use your saved search any time you prospect in Apollo.
Use a Saved Search
Use saved searches to return to the prospecting views you rely on most without rebuilding the same filters each time. You can also open searches shared by your teammates to work from the same targeting criteria and keep prospecting consistent across your team.
For example, you might use a saved search to revisit a priority account segment, check for new contacts that match your ideal customer profile, or pick up where a teammate left off with a shared search.
To use a saved search:
- Launch Apollo and click People, Companies, Deals, or Tasks.
- Click Default view or your current layout name.
- Search to find a specific saved search or browse saved searches:
- All searches: Browse among all your saved and shared searches.
- Your searches: Use one of your saved searches.
- Favorites: Use one of your pinned searches.
- Shared: Use a search created by another teammate.
- Select a saved search.
- Apollo applies the filters from your saved search automatically and displays updated search results.
Once you've opened a saved search, use the refreshed results to continue prospecting without starting from scratch. Review new matches, take action on relevant records, or return to the search later as your prospect pool changes.
Edit a Saved Search
To update a saved search:
- Hover over the saved search you want to edit and click ...
- Select one of the following options:
- Edit: Open settings to edit your saved search.
- Add to starred: Save the search to your favorites to access it more quickly.
- Duplicate: Clone the saved search. This may be useful for experimenting with additional filters.
- Share: Share the saved search with your team.
- Subscription: Set subscription alerts for the search.
- Delete: Delete the saved search. You can only delete your own saved searches.
You have now edited a saved search.

Share a Saved Search
First, save your search, then you can share it with teammates.
To share a search:
- Open your saved search and click Search settings.
- Click Visibility and sharing.
- Select one of the following options:
- Restricted: Keep the search private to yourself and selected users with access.
- Everyone at your company: Make the saved search available to everyone on your team.

Share with: Alternatively, select specific people or teams who can use the saved search then choose an access level:
- Full access: Can edit and share this search.
- Can edit: Can edit your search but can't share it with others.
- Can view: Can use the search but can't edit or share it with others.
- When finished, click Done.
You have now shared a saved search.
If you're an admin on Apollo, you can manage access to shared searches across your entire team.
Set a Search Alert
You can create search alerts for a saved search for people or companies.
When you set a search alert, Apollo notifies you of the newest people or companies that fit your saved search criteria. You can subscribe to daily, weekly, or monthly email alerts to stay up to date on new prospects.
The buying intent filter is a great fit for subscription alerts. Filter for your buying intent criteria on a saved search, then create a search alert. Apollo sends you notifications when new companies match your buying intent criteria. Cha-ching!
To create a search alert:
- Open your saved search and click Search settings.
- Click Subscription alerts.
- Select a cadence for the alert:
- Daily
- Weekly
- Monthly
- When finished, click Done.
You have now created a search alert.
Apollo sends an email notification when new people or companies match your saved search criteria.
You can only set subscription alerts on the saved searches you own. To subscribe to a shared saved search, duplicate the search.
