Save and Share a Search or Set a Search Alert

Overview

Saved searches allow you to quickly retrieve your most frequently used prospecting filters. Get quick access to specific search results for people, companies, deals, and tasks with saved searches.

For example, if you search often for Chief Marketing Officers in the computer software industry, you can save a search with these filters and set search alerts to make your outreach process more efficient and responsive.

Save a Search

To save a search:

  1. Launch Apollo and click People, Companies, Deals, or Tasks.
  2. Add any filters that you want to apply to your search.

  1. Click Save as new search.

  1. Give your search a descriptive name and click Create search.

You can use your saved search any time you prospect in Apollo.

Use a Saved Search

You can apply your saved searches whenever you prospect in Apollo. You can also use saved searches shared by teammates.

To access a saved search:

  1. Launch Apollo and click People, Companies, Deals, or Tasks to start a new search.
  2. Click Default view.

  1. Search to find a specific saved search or browse saved searches from the following options:
    • All searches: Use the default search view.
    • Your searches: Use one of your saved searches.
    • Favorites: Use one of your pinned searches.
    • Shared: Use a search created by another teammate. Only public searches appear here.
  2. Select a search.
  3. Apollo applies the filters from your saved search automatically and displays updated search results.

Edit or Delete a Saved Search

You can always edit or delete a saved search.

To update a saved search:

  1. Launch Apollo and click People, Companies, Deals, or Tasks.
  2. Click the current search view.

  1. Hover over the saved search you want to edit and click ...
  2. Select one of the following options:
    • Edit: Open settings to edit your saved search.
    • Add to starred: Save the search to the Starred tab to access it more quickly.
    • Duplicate: Make a copy of the saved search.
    • Share: Share the saved search with your team.
    • Subscription: Set subscription alerts for the search.
    • Delete: Delete the saved search. Note that you can only delete your own saved searches.

Share a Search

First, save a search. Then you can share it with teammates.

To share a search:

  1. Open your saved search and click Search settings.

  1. Click Visibility and sharing.

  1. Under Visibility, select one of the following options:
    • Restricted: Keep the search private to yourself and selected users with access.
    • Everyone at your company: Make the saved search available to everyone on your team.
    • Share with: Alternatively, select specific people or teams who can use the saved search then choose an access level:
      • Full access: Can edit and share this search.
      • Can edit: Can edit your search but can't share it with others.
      • Can view: Can use the search but can't edit or share it with others.

  1. When finished, click Done.

You have now shared a saved search.

If you're an admin on Apollo, you can manage access to shared searches across your entire team.

Set a Search Alert

You can create search alerts for a saved search for people or companies.

When you set a search alert, Apollo notifies you of the newest people or companies that fit your saved search criteria. You can subscribe to daily, weekly, or monthly email alerts to stay up to date on new prospects.

 
Make the Most of Buying Intent

The buying intent filter is a great fit for subscription alerts. Filter for your buying intent criteria on a saved search, then create a search alert. Apollo sends you notifications when new companies match your buying intent criteria. Cha-ching!

To create a search alert:

  1. Open your saved search and click Search settings.

  1. Click Subscription alerts.

  1. Select a cadence for the alert:
    • Daily
    • Weekly
    • Monthly

  1. When finished, click Done.

You have now created a search alert.

Apollo sends an email notification when new people or companies match your saved search criteria.

 
You Gotta Own It

You can only set subscription alerts on the saved searches you own. To subscribe to a shared saved search, duplicate the search.
