Overview
With the HubSpot integration, duplicate company records can split account data and activity history or prevent records from syncing between Apollo and HubSpot. While Apollo recommends that you deduplicate before integrating HubSpot, you may still see duplicates in Apollo, in HubSpot, or after merging records in either platform.
Check out the following sections to identify the affected records and resolve duplicate accounts.
Troubleshoot Duplicate Accounts
Search for the company name and domain in both Apollo and HubSpot, then select the issue that matches what you see.
- A duplicate account appears in Apollo after a HubSpot sync
- A push fails because a company domain already exists
- Duplicates remain after merging records or reconnecting HubSpot
A duplicate account appears in Apollo after a HubSpot sync
If HubSpot has more than one company record for the same business, Apollo can create a separate account for each HubSpot company when it syncs. Clean up duplicate companies in HubSpot before connecting the integration or before the next sync.
- Search for the company name and domain in both Apollo and HubSpot.
- Open the affected Apollo accounts and compare their names, website domains, and linked HubSpot companies.
- If separate HubSpot records represent the same business, review your CRM merge sync settings before merging the duplicates in HubSpot.
- If company information is missing or inaccurate, correct it and review the relevant account field mappings.
Each Apollo account should link to the correct HubSpot company. If several Apollo accounts show the same HubSpot company, or an account links to the wrong company, contact Apollo support to review the links.
A push fails because a company domain already exists
Before creating a company, Apollo checks HubSpot for an existing company with the same domain. If a different HubSpot company already uses the account's domain, Apollo won't create a new company or automatically link to the existing one. Contacts associated with that account also won't push until the conflict is resolved.
- Go to Settings > Integrations > All integrations > HubSpot > Error logs. Review the failed record and the full error message.
- Search for the domain in both Apollo and HubSpot. Compare the matching accounts and their linked HubSpot records.
- If the conflicting HubSpot companies represent the same business, review your CRM merge sync settings, then merge the duplicates in HubSpot. If a record is unnecessary, review its associated data before deleting it.
- After resolving the conflict, manually push the affected account or contacts again from Apollo, then check the error logs.
If you find only one HubSpot company, the records represent different businesses, or the error continues after cleanup, contact Apollo support with the record links and error message.
Deleting a company in HubSpot removes its link in Apollo but doesn't delete the Apollo account. If you later push that Apollo account again, Apollo may create the company in HubSpot again.
Duplicates remain after merging records or reconnecting HubSpot
If duplicate Apollo accounts remain after a HubSpot merge, review the surviving HubSpot company and the Apollo accounts still linked to it.
- Identify the surviving HubSpot company and any records that were merged or deleted.
- Review your CRM merge sync settings, including whether merge sync was enabled when the original cleanup occurred.
- Check HubSpot Error logs in Apollo for failed pushes involving the affected records.
Disconnecting and reconnecting the same HubSpot portal keeps existing record links. It won't clear incorrect links or resolve duplicates.
If the issue appeared after reconnecting, note when you reconnected and which records were affected. If duplicates remain or links are incorrect, contact Apollo support before repeating the merge or reconnecting again. Include links to the affected Apollo accounts and the original and surviving HubSpot companies.
