Overview
Tasks on Apollo allow you to create, prioritize, and complete your outreach to-do list. Create tasks to tackle phone calls, follow-up emails, and action items that each sequence, deal, contact, or account requires.
You can assign tasks to yourself or your team, and set priority levels and due dates. Each task reminds you of the manual steps you need to take to complete the action and move the prospect forward.

Create a Task
Access to tasks depends on your Apollo plan. If you need access, upgrade your plan. If you have questions about upgrading, reach out to the Apollo sales team.
You can create tasks in Apollo from tasks, from a sequence, or from an account, contact, or deal:
To create a task from the tasks hub:
- Launch Apollo and click Tasks.
- Apollo displays all of your current tasks, organized by type.
- Click Create task.
- Select a contact, account, or deal to associate with the task. You can search by name.
- Select a task type and enter a title.
- Enter a task description, then select an assignee, a priority level, and a due date.
- Depending on the task type, complete any other required fields. When finished, click Create task.
You have now created a task. The person assigned to the task can complete the task from Tasks or from the associated account, contact, or deal.

You can create a task in a sequence step, or generate tasks automatically with sequence triggers:
To create a task from a sequence step:
- Launch Apollo and click Sequences.
- Select an existing sequence or create a new one.
- Click Add step, then choose a task.
- Select when to start the step after the previous step. Assign a priority level, and add notes for context on the task.
- Click Continue.
You have now created a task from a sequence step. When Apollo moves your contacts into the sequence step, you can complete it. Head to Tasks or the associated account, contact, or deal to complete the task.

To automatically create tasks from a sequence trigger:
- Launch Apollo and click Settings > Team email & sequences > Sequences > Sequence rulesets.
- Select an existing ruleset or create a new one.
- Check Create a phone call task... to create tasks based on the number of times an active contact opens an email. Then enter how many times you want contacts to open an email before Apollo creates the task for you.
- When finished, click Save.
You have now configured a trigger to automatically create a task from a sequence.
When contacts meet the requirements, you can complete the task from Tasks or from the associated account, contact, or deal.Learn more about how to complete a task.

To create a task for a specific account, contact, or deal:
- Launch Apollo and click Deals, People, or Companies, then filter to view saved contacts or accounts.
- Select a contact, account, or deal.
- Click + under the tasks widget.
- Enter a task title, and select a task type.
- Select an assignee, a priority level, and a due date.
- Depending on the task type, complete any other required fields.
- When finished, click Create task.
You have now created a task. The team member assigned to the task can complete the action from Tasks or from the associated account, contact, or deal.

Complete a Task
To complete a task:
- Launch Apollo and click Tasks.
- By default, Apollo sorts your tasks by due date. To further organize your tasks, click Sort > Add Sort.
- Select a field like Priority or Company, then choose Ascending or Descending for the sort order.
To add more sort layers, click Add Sort again and select another field and order. For example, sort by Due Date first, then by Company to see urgent tasks organized by the company you're reaching out to.
- When finished, click Apply.
- Click Show filters and select from the search filters to narrow down your task list.
- Click a task to open it.
- Complete the task. Depending on the task type, you can write and send an email, log a call, or fill out any required fields. When finished, click Mark as Complete.
Did you know? You can take action on multiple tasks at once. Check the tasks you want to update from the task list, then select an action from the toolbar, like Mark as Complete, Reassign, or Archive.
- Click the navigation arrows to move to the next task.
