Overview

Conversations let you record, transcribe, and analyze your team's video meetings directly in Apollo without juggling multiple apps. Use conversations to review call recordings with AI-written summaries, generate follow-up tasks, coach reps with scorecards and playlists, and keep all prospect context in one place by associating calls with deals.

You can record meetings from Zoom, Google Meet, and Microsoft Teams, or import recordings from Gong. Apollo automatically transcribes your recordings and generates insights so your team can act faster and improve over time.

Start using conversations in a few steps:

Set up conversations Connect your Zoom, Google Meet, or Microsoft Teams account to Apollo and configure your recording settings, trackers, and consent messages so your team is set up to record from day one.

How many recording minutes do I get?

Your recording minutes depend on your Apollo plan. Once your team hits the limit, Apollo's recorder stops joining new meetings. Recording resumes at the start of the next billing cycle, or when you have conversation minutes again. If you run out of conversation minutes, you can purchase more from your plan page. Do I need to manually start a recording, or does it happen automatically?

For Google Meet, Microsoft Teams, and Zoom, Apollo's recorder joins automatically based on your recording settings. It may prompt participants to allow recording. If the recorder doesn't join, check the requirements in Troubleshoot Conversations: Why Did My Meeting Not Record?

Does Apollo transcribe recordings automatically?

Yes. Once a meeting is recorded and processed, Apollo automatically generates a transcript and an AI-written summary that includes the call outcome, next steps, and objections. Transcripts are searchable and available directly on the conversation recording page.

Who can access my team's recordings?

By default, recordings are accessible to your organization. When you share a recording, you can set access to Organization, Private, or Public. Admins can also manage which team members are designated as recorded users in your conversations settings. Check out Access and Share Conversations for more details.

Can I use conversations if I don't connect my mailbox?

You can manually record calls without a connected mailbox using the Record now option in Conversations, or by adding recorder@apollo.io as a guest to your meeting. A connected mailbox is required for Apollo to automatically detect and schedule recordings based on your calendar. Check out Set Up Conversations for more details on recording requirements.

Can I import my recordings to Apollo?

If you use Gong, you can import your recordings by connecting it to Apollo. Once imported, Apollo generates transcripts, AI-written summaries, and conversation analytics. Check out Import Gong Calls to Apollo to get started.

Can I choose which meetings get recorded?

Yes. You can configure selective recording rules. For example: record only external meetings, only meetings with specific domains, or all meetings. Check out Set Up Conversations to learn more.

Why didn't Apollo record my meeting?

There are several reasons a meeting might not record, including a disconnected mailbox, a last-minute meeting scheduled less than thirty minutes in advance, a recorder that was removed from the waiting room, or your team's recording settings excluding certain participants or domains.
