Manage Your Profile

Find what you want to update, then follow the steps:

Action What You Can Do
Change Your Theme Switch Apollo between light, dark, or system theme.
Change Your Language Choose whether Apollo displays in English, Spanish, Portuguese, or French.
Update Your Profile Settings Manage your name, title, email, password, MFA, custom user fields, email settings, and private conversations settings.

Change Your Theme

To change your theme:

  1. Launch Apollo, then click your name at the top right.
  2. Click Theme.
  3. Select one from the following theme options:
    • Light: Enables Apollo's classic theme and white background.
    • Dark: Enables darker colors to reduce eye strain.
    • System: Automatically updates your Apollo theme based on your device settings.

Change Your Language

To change your language:

  1. Launch Apollo, then click your name at the top right.
  2. Select English, Spanish, Polish, Portuguese, or French.

You can only choose from the language options shown in your profile menu.

Update Your Profile Settings

Choose the profile setting you want to update.

Profile Setting What You Can Do
Update Your General Info Change your first name, last name, title, email, password, permission profile, team, territories, or credit limits.
Set Up Multi-Factor Authentication Add MFA to your individual Apollo account with an authenticator app or SMS authentication.
Update Custom User Fields Fill in custom user fields on your profile. Admins can also manage custom user fields from Users settings.
Configure Email Settings Manage mailboxes, unsubscribe headers, open tracking, click tracking, and sequence opt-out messaging.
Manage Private Conversations Settings Keep conversations private or revoke access to shared recording links.

Update Your General Info

  1. Click Settings > Profile > General to access the following fields:
Setting Description
First Name and Last Name Enter your first and last name, then click Save. Apollo uses your name when you own or collaborate on activities like sequences, meetings, emails, AI research, or other prospecting activities.
Title Enter your job title, then click Save. Apollo displays your job title in your profile.
Email This is the email used to set up your Apollo account. Click Change email to update the email linked to your account.
Password Click Change Password to update your account password.
Permission Profile The permission profile assigned to you by your Apollo admin. Your permission profile designates your level of access to different Apollo features. Only admins can change this setting.
Teams Your assigned team within Apollo. Only admins can change your assigned team.
Territories Your assigned territories for prospecting in Apollo. Only admins can change your assigned territories.
Credit Limits Your personal limit for credit usage in Apollo. Only admins can update your personal credit limits.
  1. Click Save.

You have now updated your profile information.

Set Up Multi-Factor Authentication

  1. Click Settings > Profile > Multi-factor authentication to enable MFA for your individual Apollo account:
Setting Description
Authenticator App Click Setup to set up multi-factor authentication with your preferred authenticator app. When enabled, use your authenticator app to log in to Apollo.
SMS authentication Click Setup to configure multi-factor authentication with SMS. When enabled, you receive an authentication code via SMS to log in to Apollo.

Security Blanket

These settings allow you to enable MFA for your individual account login to improve security. Admins can also enforce MFA for everyone in your organization with admin-level security protocols.

You have now managed your MFA settings.

Update Custom User Fields

  1. Click Settings > Profile > Custom fields to edit any custom user fields on your profile.
  2. If you're an admin, click Manage fields to add, edit, or delete custom user fields from Users settings.
  3. Click Save.

Configure Email Settings

  1. Click Settings > Profile > Email settings to enable any of the following settings:
Setting Description
Mailbox Management Click Manage Mailboxes to link your mailbox to Apollo, set your email sending limits, and set up your email signature.
Include one-click unsubscribe headers Check this setting to enable unsubscribe links and one-click unsubscribe headers in your emails.
Enable open tracking Check this setting to allow Apollo to track open rates for emails you send to prospects.
Enable click tracking Check this setting to allow Apollo to track click rates for emails you send to prospects.
Append a sequences opt-out message after my signature Toggle this setting, then enter an opt-out message to allow prospects to opt out of your sequences. Apollo displays this message below your email signature in each email sent to prospects.
 
A Word of Caution

Only enable open and click tracking if you have a strong domain reputation and are familiar with email deliverability best practices. Even then, Apollo recommends enabling tracking only on specific, time-bound tests. Once you gain the insights you're looking for, deactivate tracking to protect your domain reputation and avoid spam filters.

  1. Click Save.

Manage Private Conversations Settings

  1. Click Settings > Profile > Conversations to enable any of the following settings:
Setting Description
Enable Private Conversations Toggle this setting to keep all of your Conversations private in Apollo. When you enable this setting, only hosts and people with the link can access your conversation details.
Revoke access to all shared recording links If you've shared conversation recordings with other team members, click Revoke access to remove their access to all your shared links.
  1. Click Save.

You have now managed conversation settings on your profile.
