Overview

Use profile settings to review and update the following personal account information in Apollo:
- General account info and restrictions
- Multi-factor authentication
- Custom user fields
- Email settings
- Private conversations
Check out the following sections to learn more about available profile settings.
Configure Profile Settings
To configure your profile settings, launch Apollo and go to Settings > Profile.
You can enable or update the following profile settings in Apollo:
General Settings
Click Settings > Profile > General to access the following fields:
Setting | Description |
---|---|
First Name & Last Name | Enter your first and last name, then click Save to save your changes. Apollo displays your name throughout the platform when you own or collaborate on activities like sequences, meetings, or prospecting. |
Title | Enter your job title, then click Save to keep your changes. Your job title is displayed in your user profile. |
This is the email used to initially set up your Apollo account. Click Change email to update the email linked to your account. | |
Password | Click Change Password to update your account password. |
Permission Profile | The permission profile assigned to you by your Apollo admin. Your permission profile designates your level of access to different Apollo features. Only admins have access to change this setting. |
Teams | Your assigned team within Apollo. Only admins have access to change your assigned team. |
Territories | Your assigned territories for prospecting in Apollo. Only admins have access to change your assigned territories. |
Credit Limits | Your personal limit for credit usage in Apollo. Only admins have access to update your personal credit limits. |
Click Save to save your changes.
Multi-Factor Authentication
Click Settings > Profile > Multi-factor authentication to enable MFA for your individual Apollo account:
Setting | Description |
---|---|
Authenticator App | Click Setup to set up multi-factor authentication via your preferred authenticator app. When enabled, you'll use your authenticator app to log in to your Apollo account. |
SMS authentication | Click Setup to configure multi-factor authentication via SMS message. When enabled, you'll receive an authentication code via SMS to log in to your Apollo account. |
The above settings allow Apollo users to enable MFA for their individual account logins to improve security. Admins can also enforce MFA for all Apollo users in their organization via admin-level security protocols.
Custom User Fields
Click Settings > Profile > Custom fields to fill in your information for any of the custom user fields in your profile settings. If you're an admin, click Manage fields to add, edit, or delete custom user fields from the Users settings.
Click Save to save your changes.
Email Settings
Click Settings > Profile > Email settings to enable any of the following settings:
Setting | Description |
---|---|
Mailbox Management | Click Manage Mailboxes to link your mailbox to Apollo, set your email sending limits, and set up your email signature. |
Include one-click unsubscribe headers | Check this setting to enable unsubscribe links and one-click unsubscribe headers in your emails. |
Enable open tracking | Check this setting to allow Apollo to track open rates for emails you send to prospects. |
Enable click tracking | Check this setting to allow Apollo to track click rates for emails you send to prospects. |
Append a sequences opt-out message after my signature | Toggle this setting, then enter an opt-out message to allow prospects to opt out of your sequences. Apollo displays this message below your email signature in each email sent to prospects. |
Only enable open and click tracking if you have a strong domain reputation and are familiar with email deliverability best practices. Even then, Apollo recommends enabling tracking only on specific, time-bound tests. Once you gain the insights you're looking for, you should deactivate tracking to protect your domain reputation and avoid spam filters.
Click Save to save your changes.
Conversations
Go to Profile > Conversations to enable any of the following settings:
Setting | Description |
---|---|
Enable Private Conversations | Toggle this setting to keep all of your conversations private in Apollo. When you enable this setting, only hosts and users with the link can access your conversation details. |
Revoke access to all shared recording links | If you've shared conversation recordings with other team members, click Revoke access to remove their access to all your shared links. |
Click Save to save your changes.
