Overview
Apollo is currently rolling out the new call assistant seat, which is available to paid Apollo plans. Some teams may not have access to this feature right away. Stay tuned!
Apollo's call assistant seat gives you access to the core features you need to win and close deals. You may want to become a call assistant in Apollo if you don't need access to Apollo's full suite of prospecting and engagement features, don't need to consume credits, but still want to actively manage:
Only admins can invite and assign new users to a call assistant seat to actively manage deals and meetings in Apollo. If you need full access to Apollo features, ask an admin to upgrade your seat to leverage full functionality of Apollo.
Call assistant permissions are ideal if you're an:
- Account Executive (AE) who frequently attends meetings, reviews customer conversations, and manages pipeline but doesn’t engage in outbound prospecting.
- Product manager, RevOp, marketing, or cross-functional stakeholder who needs visibility into sales meetings and deal progression.
- Sales leader or manager who wants to review calls, track your team's performance, and analyze deal progress.
- Other meeting attendee at your company who isn't an Apollo user but needs access to attend your sales meetings.
With a call assistant seat, you gain limited, non-admin level access to the following features in Apollo:

Conversations | Access to all Conversations features. Your recording minutes count toward your overall team's minutes pool. |
Deals | Access to all Deals features. |
Meetings | Access to all non-admin Meetings features. |
Search & Prospecting | You can prospect like any other team member in Apollo, but you have a limited number of records and credits per month. |
Engage | You can send up to 10 emails per day in Sequences and link 1 mailbox on a call assistant seat. |
All Other Features |
You have the same level of access as non-admin users for the following features: Access to analytics, goals, workflows, and enrichment features depend on your team's Apollo plan. API call limits also depend on your Apollo plan. |
You don't have access to the Apollo Dialer as a call assistant user. Ask your admin to upgrade your seat if you want to use the Apollo Dialer.
Assign a Call Assistant Seat in Apollo
If you're an admin, you can assign a call assistant seat any time you add new users to Apollo.
We recommend assigning call assistant seats to new Apollo users only. Existing users reassigned to a call assistant seat will lose permissions to features they could previously access.
To assign a call assistant seat:
- Launch Apollo and navigate to Settings > Users.
- Click New user to create a new user.
- Select Call Assistant Seat from the list of permission profiles.
If you signed up for Apollo via the Apollo Sales team, reach out to your assigned Customer Success team to enable the call assistant seat for your account.
- Next, enter the username or email for each call assistant you want to invite to Apollo. Click Send invites.
