Admin settings are currently in beta and only available to some users. Apollo will roll out this feature to all users in the coming weeks.

Admins in Apollo have access to a wider array of settings than non-admins. You should configure and regularly manage your workspace settings to set your team up for success.

As an Apollo admin, you can access and manage the following setting categories:

  • Users and Teams
  • System Activity
  • Security
  • Metrics
  • Plan Overview
  • Integrations

Access Admin Settings

To access the admin settings for your team's Apollo instance:

  1. Launch Apollo and click Admin Settings.
  2. Select one of the following options to navigate directly to the related settings:
    • Users and Teams: Invite users, create teams, and manage permission profiles to configure access to Apollo.
    • System Activity: Manage your team's data requests, review AI word usage history, and monitor your system activity log.
    • Security: Configure advanced security protocols for multi-factor authentication (MFA), single sign-on (SSO), IP whitelisting, and password and login controls.
    • Metrics: Access analytics for goals and custom metrics reports.
    • Plan Overview: Review or upgrade your Apollo plan, monitor credit usage, and update billing information.
    • Integrations: Connect or manage your team's third-party integrations.

Set Up Your Team
  • Connect your CRM and integrations to sync your third-party apps to Apollo and enrich contact and account records from your CRM with Apollo data.
  • Create permission profiles to streamline how you assign Apollo access to different users on your team, depending on their roles.
  • Invite users to Apollo and set their permissions so they can start prospecting and closing deals.
  • Create analytics dashboards and reports to monitor your team's performance in various sales activities throughout Apollo, including email deliverability, sequences, and deals.
Generate Pipeline
  • Configure your prospecting settings to manage GDPR compliance, enable job change alerts, define contacts' primary email address type, and set how Apollo handles duplicate records.
  • Define personas to match your company's ideal customer profiles (ICPs) and surface leads in Apollo that best align with your sales goals.
  • Create a core messaging strategy to help you quickly personalize your emails and boost prospect engagement with your sequences.
  • Set up signals, scores, website visitors, and buying intent to quickly locate, prioritize, and track prospects who meet your criteria for ideal customers.
  • Configure the Dialer for yourself and your team to start calling prospects directly in Apollo.
Enrichment
  • Configure enrichment sync settings to ensure your CRM records sync properly with Apollo and streamline the data enrichment process.
  • Set up job change alerts to prevent your record data from going stale and quickly identify when contacts switch jobs.

FAQs

Why can't I access all admin settings?

Only admin users have access to all admin settings. If you are a non-admin, you may have access to specific admin settings depending on your role and permissions. For example, if you're an IT manager you might need admin-level access to enable users in Apollo or to manage security settings, but you likely won't need access to prospecting or billing settings.

If a setting is greyed out and you can't select it, your Apollo admin hasn't provided you access to manage it. Reach out to your team's overall admin to ask for additional access.

Why can't I access metrics from the admin settings menu?

Only teams with access to view custom metrics will see Metrics in their admin settings menu. Reach out to the Apollo sales team to gain access to this feature.
